Sharing your agency

Sometimes someone needs to see your whole agency without being one of your closers: the agency that manages your team, a sales consultant, your business partner. That is what sharing your agency is for: you grant access to someone outside the team, and they see and run your workspace exactly as you do — without taking a seat on the sales roster.

It lives in Manage → Settings → Agency, in the Agency access card, and only the owner handles it.

What it is (and how it differs from inviting a closer)

Full access

Whoever receives access sees the agency as its owner does: calls, coaching, appointments, manual, statistics and settings.

Outside the sales roster

They never appear in the ranking, no recordings are attributed to them, and they don’t count as a closer.

  1. As the owner, open Manage → Settings → Agency.

  2. In the Agency access card, type the person’s email.

  3. Press Grant access.

That person must already have a TopClosers account with that email. If they don’t, ask them to sign up first, or use the access link, which does work for someone who isn’t on TopClosers yet.

The form tells you when it can’t go through:

  • No account uses that email — have them sign up and try again.
  • That person is already on your team — their access is managed from Team, not here.
  • That’s you — you already have full access.

As soon as access is granted, the person shows up under People with access, with their name, their email and the date it started.

If you’d rather not know in advance which email the other person will use, create an access link. Anyone who opens it and signs in gets full access to the agency.

  1. In the same card, press Create link.

  2. Copy the link and send it to whoever needs it.

  3. When you no longer need it, press Regenerate to change it, or Delete link to kill it.

Regenerating or deleting the link invalidates it instantly. Anyone who already used it keeps their access until you remove it under People with access.

  • If they’re already signed in, they see the agency name, which account they’re about to use, and just press Access the agency.
  • If they’re signed out, they enter their name and email and get a one-time link by email to confirm the address. No passwords.
  • If the link was revoked or regenerated, they see a notice that the link no longer works and have to ask you for a new one.

What the person with access can see and do

They see the agency as its owner would, with two limits:

  • The subscription is not visible to them. The plan belongs to the agency owner, so the subscription screen is out of their reach. If the agency has no active subscription, they see a notice asking them to tell you — the owner — to activate it. See Plans, trial and billing.
  • They can’t share the agency further. The Agency access card is only visible to the real owner, so nobody can widen the circle on their own.

They don’t join the sales roster either: they never appear in rankings, no recordings are attributed to them, and they generate no commissions.

When someone can open more than one agency — their own plus the ones shared with them — the agency name at the top of the sidebar turns into a switcher: Switch agency. Opening it lists them all under Your agencies, and the ones received carry a shared tag.

Picking one switches workspace right away: calls, manual, statistics and settings all become that agency’s. With a single agency, the switcher doesn’t appear.

  1. Open Manage → Settings → Agency and find the person under People with access.

  2. Press Remove access and confirm.

They lose access immediately and the agency disappears from their switcher. You can grant it again whenever you want, and nothing in your agency is deleted when you revoke it.

  • Sharing the agency is the owner’s job. A closer never sees this card.
  • Shared access doesn’t use up a closer seat and doesn’t change anything you see.
  • Everything that person does happens in your agency, on your data: if they edit the manual or the rubric, the calls that follow are scored with that change. See Sales manual.
  • This is not the way to move a closer from one agency to another: remove them and invite them from the other one. See Team and roles.
  • Share by email whenever you can. It’s nominal, you know exactly who gets in, and it’s just as easy to revoke.
  • Only keep the link alive while you need it, and delete it once the person is in.
  • Review the access list from time to time. A consultant whose work is done has no reason to keep seeing your calls.
  • Tell your team when someone from outside comes in. Feedback reads differently when you know who is looking at it.
