What is TopClosers?

TopClosers gives your sales team AI feedback on every recorded call. Each call is transcribed and scored against your own agency’s sales manual, not against a generic template. The owner sees who is executing the process; each closer gets concrete, phase-by-phase coaching on their own calls.

TopClosers is a ZeroChats product, but it is a separate, independent platform from the rest of the ZeroChats products: you subscribe to it on its own and it has its own account.

The whole product revolves around four steps that repeat on every call:

  1. You record the call with the tool you already use — Fathom or Bluedot. Nothing has to be uploaded by hand.
  2. The call reaches TopClosers with its transcript and is credited to the closer who ran it.
  3. It is scored against your manual: the AI walks the transcript section by section and gives each one a score from 0 to 10, plus a weighted overall score.
  4. The closer gets coaching: what went well, what to improve, the objections that came up and the key moments with their timestamps.

From there the cycle feeds itself: the more you refine the rubric, the more useful the feedback; the more calls come in, the more reliable the averages and rankings.

Sales manual

You upload your manual and the AI proposes a rubric: the phases of your sale, each with its weight and its success criteria. You edit and approve it. See the sales manual

Calls

Every recorded call, with its score, its outcome and its transcript. This is where you record whether the sale closed and for how much. See calls

Call analysis

Overall and per-phase scores, what went well, what to improve, objections and key moments with timestamps. See the analysis

Coaching

Every closer’s improvement points gathered in one place, sorted by the phases where their score is weakest. See coaching

Team

You invite your closers by email. Each one sees only their own calls and feedback. See the team

Statistics

Team averages, ranking by cash collected, appointment funnel, score evolution and the most repeated objections. See statistics

An agency in TopClosers has members with one of two roles. The role decides what you see and what you can change; it is not a permission you can work around from the interface.

  1. The recording arrives. The closer’s recorder sends the call and its transcript as soon as it finishes processing it.
  2. It is credited to a person. TopClosers uses the email the closer records with. That is why the invitation has to go to that exact email.
  3. It is linked to its appointment, if there is one that matches by contact and time slot. That is extra context: the analysis never depends on it.
  4. It is scored against the active rubric. Each section gets its own 0-10 score based on its criteria; the overall score comes from those scores weighted by their weight.
  5. The feedback is published. The closer sees it on the call and also receives it by email, written in the language your agency has configured.

In the Calls list every row carries a status label. This is what each one means:

StatusWhat it meansWhat you have to do
Needs attentionThe recording arrived, but the recorder’s email doesn’t match anyone on your team, so we don’t know who to credit.Assign the right closer from the list. Scoring starts on its own as soon as you do.
Waiting for analysisThe call is credited and queued for scoring.Nothing.
AnalyzingThe AI is reading the transcript and scoring each section.Nothing. It usually takes a moment.
AnalyzedThe feedback is ready: overall score, per-phase scores, strengths, improvements and key moments.Open it and read it.
Analysis failedThe scoring for that call could not be completed.Retry the analysis; if it fails again, open a support ticket.
  • An agency created in TopClosers, with its language chosen.
  • A sales manual uploaded and its rubric reviewed. Without a manual there is nothing to score against.
  • One recorder connected per closer — Fathom or Bluedot, one per person.
  • An active subscription (or your free trial running): on the Free plan you can walk through the application and connect integrations, but no calls are imported or analyzed. It is all explained in Plans and billing.

Optionally, connect GoHighLevel or Calendly so appointments, shows and outcomes arrive on their own, and define your products so commissions are calculated automatically.

Inside the product you also have Help in the side menu: an AI assistant that answers questions about TopClosers using this same documentation. If you need someone from the team to look into it, open a support ticket from your user menu, at the top right. It is covered in Account and support.
