Integrations

TopClosers does not record or schedule anything on its own: it connects to the tools your team already uses. Everything you see in the app — calls, transcripts, scores, appointments and outcomes — arrives through one of these integrations.

Call recorders

Fathom and Bluedot. One account per closer. They bring the recording and its transcript, which is what TopClosers scores against your sales manual.

Scheduling and CRM

GoHighLevel and Calendly. One connection per agency. They bring booked appointments, shows and no-shows, and the outcome of every sale.

The difference in scope is what matters: each closer connects their own recorder, because the account a recording arrives on is what credits the call to that person. Scheduling and CRM, on the other hand, are connected once for the whole agency, by the owner.

Under Settings → Integrations. The screen shows:

  • The GoHighLevel and Calendly cards — owner only.
  • The Call recording card, with one row per team member: who they are, which tool they record with, and since when. The owner sees the whole team; a closer only sees themselves.

What happens depending on what you connect

With no integrations. Nothing comes in. You can upload your sales manual and invite your team, but there will be no calls to score and no appointments to show.

Recorder only. This is the minimum for TopClosers to work. Calls arrive with their transcript, get scored against your manual, and each closer receives their coaching. What you lose is business context: with no scheduling tool or CRM there are no appointments, no show rate and no sales outcomes, so the appointments page and much of the statistics stay empty.

Scheduling or CRM only. You will see booked appointments and their status, but no analyzed calls: without a recording there is no transcript, and without a transcript there is no score and no coaching.

Every integration shows a status label:

When a connection expires, a Reconnect button appears: you grant the same permission again and syncing resumes. Your existing data is never touched.

The keys, tokens and secrets you paste or authorize are stored encrypted. They are never shown again on screen: if you need to change one, you connect again. When you disconnect, the credential is removed from TopClosers.

Each closer records with one tool at a time. Choosing a new recorder replaces the previous one, and calls already imported stay exactly as they are in your workspace.

The reason is attribution: if the same person recorded with two tools, the same meeting could arrive twice. One tool per person keeps rankings and averages clean.

  • Connect the recorder before the first call of the day. There is no way to recover a meeting recorded while the connection was inactive (except Fathom’s import).
  • Use the same email everywhere. The email a closer records with must be the one they used to accept the TopClosers invitation. That is what credits the call to the right person.
  • Check the integrations screen whenever you invite someone. Their row will show no recorder until they connect one.
  • Check your plan. Recording ingestion and imports require an active subscription; see Plans and billing.
