Reminders

Almost every call leaves something pending with a date attached: “I’ll call you Thursday”, “I’ll send the proposal on the 15th”, “let’s pick this up after your trip”. Reminders is where all of that lives, and most of it shows up on its own.

In the side menu it sits under Schedule → Reminders, next to Appointments.

A list of dated follow-ups. Most of them are written by the AI: once a call finishes being analyzed, it reads the transcript and files the commitments the closer made, each with its specific day. The rest you add yourself.

Every reminder carries:

  • What needs doing, in one line.
  • The date it falls on.
  • The detail: what was actually agreed on the call.
  • A link to the call it came from, so you can check what was said before acting on it.

The list is grouped by urgency, and recalculated every time you open it:

A reminder due today does not count as overdue: you have the whole day.

What the AI picks up (and what it doesn’t)

The AI only files what was said with a date behind it. That is the whole rule, and it is deliberately strict:

  • It files a concrete step with a moment: “I’ll call you Thursday”, “let’s set the kickoff for next Tuesday”. The closer saying it is enough — the lead does not have to confirm out loud.
  • It does not file anything with no date (“we’ll talk”, “I’ll let you know”), anything the lead alone promised, or anything it would have to infer.

Relative expressions are resolved against the day of the call: “Thursday” on a Monday call is that same week’s Thursday.

  1. Open Reminders and hit New reminder.

  2. Write what needs doing and pick the date. The detail is optional.

  3. If you own the agency, you can assign it to any closer. A closer always assigns it to themselves.

  4. Create reminder.

  • Done marks it resolved and drops it into the bottom group.
  • Reopen puts it back to pending, in case you ticked it by mistake.
  • The bin icon deletes it. Use it when the AI got it plainly wrong and it is not even worth keeping as resolved.
  • The agency owner sees and manages the whole team’s reminders, and can assign new ones to anyone.
  • Each closer sees and manages only their own.

This does not change with team visibility: a shared scoreboard motivates, a shared to-do list is just noise.

A call’s reminders are rebuilt every time that call is re-analyzed. Only the ones still pending are replaced: if you already marked one as done, or deleted it, a re-analysis never brings it back. The ones you wrote by hand are never touched.

  • It needs a transcript and an analysis. Automatic reminders come out of the call analysis, so a call that was never analyzed produces none. See Call analysis.
  • They are written in your agency’s language, like every other AI text. See Agency settings.
  • It is a help, not a contract. Before acting on a reminder, open the call from its own link and check exactly what was said.
  • Start the day with Overdue. That is the list that costs money: follow-ups that should already have happened.
  • Add what the AI cannot know. A commitment made over WhatsApp after the call is not in the transcript; create it yourself.
  • Resolve or delete, don’t accumulate. A list with twenty overdue reminders stops carrying any signal.
