Fathom

Fathom is one of the two call recorders TopClosers supports. It is a per-closer connection: each person connects their own Fathom account, and the account a recording arrives on is what credits the call to that person.

It is the simplest one to set up: you paste an API key and TopClosers gets automatic syncing ready for you. It is also the only recorder that lets you import the last 7 days of recordings.

You also need:

  • An active Fathom account with access to the API key.
  • An active subscription for your agency; see Plans and billing.
  1. Copy your API key in Fathom.

    Go to fathom.video and open Settings → API. Copy that account’s API key.

  2. Open Settings → Integrations in TopClosers.

    Find the Call recording card. As a closer you will see a single row: yours. As the owner you will see one row per team member.

  3. Click “Choose recorder” on your row.

    If you already have a recorder connected, the button reads Change.

  4. Pick Fathom from the list.

    The connect step opens. If that person already recorded with another tool, TopClosers warns you that the new one replaces it.

  5. Paste the key and click “Connect Fathom”.

    TopClosers verifies the key with Fathom and sets up automatic syncing. It takes a few seconds. When it finishes you will see “Fathom connected — new recordings will appear automatically”.

There is nothing else to configure. The row now shows the Fathom label, the Active status and the connection date.

When you finish your next meeting recorded with Fathom:

  1. Fathom processes the recording and its transcript.
  2. The call appears on the Calls page, credited to you.
  3. TopClosers scores it against your agency’s active sales manual and produces the analysis report: overall score, per-phase score, strengths, improvements and key moments.
  4. If your agency has a scheduling tool or CRM connected, the call is linked to its appointment when the contact and the time slot match.

The whole process runs on its own and usually finishes within minutes.

Connecting does not automatically bring in your history — but with Fathom you can do it yourself:

  • On your row, the Import 7 days button pulls that account’s recordings from the last week.
  • If you are the owner and several closers use Fathom, you also get Import everyone’s 7 days, which does the same for the whole team at once.

Imported calls are analyzed exactly like the ones that arrive on their own. Importing again duplicates nothing: calls that already exist are skipped.

Each closer records with one tool at a time. To move to Bluedot, click Change on your row and pick Bluedot: the Fathom connection is replaced. Calls already imported stay in your workspace with their analysis intact.

Click Disconnect on your row and confirm.

  • New recordings stop syncing to TopClosers.
  • Calls, transcripts and scores already here stay put.
  • The API key is removed from TopClosers. To connect again, paste a key once more.

“Fathom didn’t recognize that key.” Copy it again from Settings → API in Fathom and make sure no character is missing at the start or the end. Copying with the mouse sometimes leaves part of it behind.

I connected, but no calls appear. Check three things: that the meeting was actually recorded in Fathom, that it was recorded after you connected, and that Fathom has finished processing it. If the meeting is from the last 7 days, use Import 7 days.

The call appears but it is not mine. Your Fathom account email does not match your TopClosers invitation email. The owner can assign the call by hand from Calls; to stop it from happening again, make both emails the same.

The call appears but has no score. It needs two things: an active sales manual in the agency and an active subscription. Check both.

I cannot see my teammates’ rows. That is expected: a closer only manages their own connection. Only the owner sees and manages the whole team’s.

I cannot find the “Import 7 days” button. It only shows with Fathom connected. Bluedot cannot be imported from.
